2) Data We Collect​

Selon vos interactions :

  • Contact form: name, email, phone, company, subject, message. Vigilantia
  • Customer account / “Sign in”: email, login details, preferences (via Odoo). Vigilantia
  • Browsing: technical and security data (IP address, user-agent, logs), essential cookies (see §8).
  • Sales / Shop (if you place an order): identity, professional contact details, addresses, invoicing and delivery details, order details. Vigilantia
  • Social networks: if you click through to our accounts (Twitter/X, Facebook), those platforms collect their own data under their policies. Vigilantia

3) Purposes of Processing

  • Respond to your requests and schedule demos.
  • B2B commercial management: quotes, contracts, service delivery, support.
  • Billing / accounting (legal obligations).
  • Website security (fraud and intrusion prevention).
  • Website improvement and audience measurement (only if non-essential trackers are enabled).
  • Professional prospecting: send relevant information about our services (in compliance with B2B rules).

4) Legal Bases (Art. 6 GDPR)

  • Contract performance or pre-contractual steps: responses, quotes, orders, support.
  • Legitimate interests: B2B relationship management, website security, service improvement, proportionate B2B prospecting.
  • Legal obligation: invoicing, accounting, anti-fraud.
  • Consent: setting non-essential cookies (analytics/marketing); sending communications where required.

5) Recipients and Processors

  • VIGILANTIA internal team (authorised staff).
  • OVH (hosting infrastructure and logs).​ Vigilantia
  • Self-hosted Odoo ERP/CMS: technical processing of forms, accounts and site content (the site is generated via Odoo).
  • Strictly necessary IT service providers (maintenance, security).
  • Authorities: only where legally required.

We do not sell your data.

6) Transfers outside the EU

Processing is operated and hosted within the European Union (OVH in France). If we later integrate a tool involving a transfer outside the EU (e.g., analytics or marketing), it will only occur with appropriate safeguards (standard contractual clauses, risk assessment, supplementary measures), and this Policy will be updated accordingly.

7) Retention Periods (principles)

  • B2B prospects: 3 years from your last contact.
  • Clients / contracts / invoices: for the duration of the contract, then 10 years for accounting records (French law).
  • Forms: 3 years after the last exchange, or deletion on request if no longer needed.
  • Technical logs: a few months maximum for security purposes.
  • Cookies: see §8 (cookie-specific durations).

8) Cookies and Trackers

The site runs on Odoo. By default we only set essential cookies required for operation (typical Odoo examples):

  • session_id (Odoo): session and security
  • frontend_lang (Odoo): language
  • fileToken / tz / csrf_token (Odoo): downloads, time zone, form protection​ 

    These cookies are exempt from consent because they are strictly necessary.

Odoo provides a cookie banner to enable/disable third-party services (analytics, embedded media, etc.). If optional cookies (e.g., audience measurement) are enabled, they will only be set after your consent and listed with their purposes and durations in the Cookie Policy page accessible from the banner.

Settings: you can withdraw consent at any time via the banner and/or configure your browser (block trackers, private browsing, etc.). Refusing essential cookies may impair site operation.

9) Your rights (GDPR & Data Protection Act)

You have the following rights: access, rectification, erasure, limitation, objection (notably to prospecting), portability (where applicable), and withdrawal of consent at any time.

10) Security

We implement proportionate technical and organisational measures: access control, TLS encryption, environment segmentation, logging, backups and monitoring. Our processors are contractually bound to confidentiality and security commitments.

11) Minors

Our services are intended for a professional audience. We do not knowingly collect data from minors.
